The Pro5 Vetting Process
What are the different stages of the candidate vetting/application process?
There are 4 main steps in the Pro5 vetting/application process:

1. Onboarding:  Candidates fill out the onboarding form. The onboarding form links are available in the “Overview of Services” email that was sent to you.

2. Assessment:  After onboarding, candidates receive a test link tailored to their profile. This assessment ensures a targeted evaluation.

3. Virtual Interview: Candidates who pass the assessment will shortly receive another link with a series of questions where they are asked to record their responses. This interview gauges their communication skills and expertise.

4. Profile update and Monthly Rate Confirmation: Once candidates have passed the vetting process, they should make sure that their profiles are up-to-date and comprehensive. After which, you as a vendor should indicate their individual monthly rates in USD. This step is taken before matching your candidates with clients.
How much time will it take to complete the screening or vetting process before you can start matching a resource?
The screening process is AI-powered and almost fully automated. Normally, the entire process can be completed within 2 hours  

However, certain factors such as missing requirements, technical issues, test retakes, and the candidate's pace in completing the stages can influence the timeline.
The Vendor Dashboard
What does each status mean for my candidates in the dashboard?
1. Application Submitted - The candidate has submitted their details through the onboarding form. Pro5 already sent them their personal link for the online assessment. The action point at this stage is with the candidate so best to remind the candidate to check either their inboxes or junk folders for the link to the assessment that they have yet to take.

2. Test Passed - The candidate has successfully completed the online assessment. The next step is to do the Q&A/interview (link has already been sent to them). The action point at this stage is with the candidate.

3. Interview Passed - The candidate has successfully completed the interview. The next step is to update their profile in their Talent Dashboard. The action point at this stage is with the candidate.

4. Profile Submitted - The candidate has updated his/her profile in the Talent Dashboard. The action point is with Pro5 to review the profile for completeness and proceed with generating a standardized CV in the Pro5 format.

5. Profile Reviewed - My candidate profile shows as profile reviewed, what is the next step? The candidate’s profile is complete and pending release/tag to Ready for Matching. The action point is with Pro5.

6. Ready for Matching - The candidate’s profile is ready to be matched with relevant projects and shortlisted to clients. At this point, it is up to the clients if they choose to invite a candidate for an interview. At this point, it is up to the clients if they choose to invite a candidate for an interview. Pro5 will be unable to give a definite timeline for this stage of the process.

7. Vetting Failed - There are 3 main reasons why a candidate’s status can be marked as closed:
  • Candidate failed the test.
  • Candidate failed the interview.
  • Candidate didn't take the test/interview on time and the link has expired.
Can I have an updated list of open positions?
An updated list of positions is available in the "Demand" section of the vendor dashboard.
STAGE 1: ONBOARDING
How can I start onboarding my candidates?
To start onboarding your candidates, simply forward the onboarding form links in the “Overview of Services” email that we’ve sent you.
How will I know if my candidate will be bucketed under my account at Pro5?
Each onboarding link you receive is pre-customized and automatically linked to your company. This allows our system to seamlessly categorize all users under your organization.

Additionally, please feel free to share it as many times as you wish. There is no limit to the number of times a link may be forwarded or used. We've designed it to be as flexible as you need it to be.
My candidate has filled in the onboarding form and yet I am unable to see the candidate name on my vendor dashboard?  
All candidates should use their personal email address when filling out the onboarding form.

DO NOT
use a single, company email to onboard your candidates. Failure to do so will result in an error in the system and a lack of visibility on your vendor dashboard.

‍Note: Each onboarding link has a unique identifier for your company so your candidates who use those links will be bucketed under your company.
My candidate has just filled the onboarding form and has been rejected. Why?  
These are some of the common reasons why a candidate can be rejected after filling out the onboarding form:
  • The candidate is only available “part-time” instead of “full-time”. Note: All projects we endorse are for full-time positions.

  • The candidate has less than a year’s experience.
    ‍
  • The candidate has left a blank space(s) in the form. Instead of leaving it blank, candidates are advised put NA on the fields that they are unable to fill out yet.
STAGE 2: ASSESSMENT
Why has my candidate not received the link for the online assessment?
After your candidate has filled out the onboarding form, an assessment link should automatically be sent to their personal email address. Kindly ask them to check their spam folders as well. Sometimes, the emails may land there.
My candidate failed the test. Can my candidate be given another chance for the online assessment?
If you are confident in your candidate’s abilities and are willing to vouch for them, we can definitely let them retake the assessment. Just send us an email with your request and we will send a new test link straight to their inbox.
My candidate is trying to attempt the Q&A but is unable to share the screen.
Candidates with these problems usually have a MAC operating system. In their MAC settings, they have to manually activate the screen share option.

Select the main Apple menu > System Preferences > Sharing. Ensure Screen Sharing is toggled on.
My candidate tried taking the test on mobile but is unable to.
All of our tests are only accessible on a desktop or laptop, NOT on mobile. Also please make sure you have a good and stable internet connection as well as a functioning webcam.
STAGE 3: VIRTUAL INTERVIEW
My candidate profile shows as “Interview Passed”, why is it not moving to the next stage?
The candidate has not updated their profile yet on their talent dashboard. They have been sent an email about updating their profile summary, impact summary, work experience, etc. Action point is with the candidate.
STAGE 4: PROFILE UPDATE
How do I upload the candidate pricing on the portal/platform?
You can update the pricing of each of your candidates on your Vendor Dashboard under the Cost column. Pricing should always be in USD.

If your pricing is not in USD, please make sure to convert it accurately using the current exchange rate before entering the equivalent values. This will help us maintain consistency and clarity in our records.
VETTED: READY FOR MATCHING STAGE
When will my candidate be interviewed by the client?
A vetted candidate will be eligible to be matched to numerous clients. However, since this decision ultimately lies with the client and is no longer with Pro5, we are not able to give a definite timeline for this.

Our best suggestion would be to make your pricing as competitive as possible.  

If the candidate is no longer available to take on a contract, we appreciate it if you notify us of the change in status.
What will be the minimum & maximum contract period with each resource?  
A contract duration varies based on project length and specific requirements. Typically, projects span from 6 months onward, never less.
Can you provide more details on the working hours, days or any other important details related to day-to-day working?
For day-to-day work, our clients typically adhere to regular office hours, which are commonly 8:00 AM to 5:00 PM or 9:00 AM to 6:00 PM from Monday to Friday.

Beforehand, you'll be informed about the client's specific time zone. However, it's worth noting that a majority of projects are aligned with the APAC timezone.
